It should be noted that the granting of aid for these exchange programs is subject to budgetary availability.


Participation in exchange programs requires strict compliance with the following requirements:

Submission of the following documentation to the International Relations Office, one month in advance, for referral to the Vice-Rectorate for International Relations and Cooperation for report and opinion:

 

FOREIGN FACULTY AND RESEARCH PERSONNEL

a) Proposed by the UCM:

  • Proposal for a visit, under agreement, with the authorization of the Dean or Director of the Center, and the Department Director, recorded on the standardized form provided by the International Relations Office, specifying the purpose of the trip, dates, and other relevant details. In addition, the curriculum of the invited professor must be attached.
  • Invitation or acceptance from the UCM Center or Department, including a description and interest of the proposed activity.
  • Approval from the Vice-Rectorate for International Relations and Cooperation  of the UCM.
  • Acceptance from the foreign university, with the approval of its Rectorate, Vice-Rectorate for International Relations , or equivalent governing body, with explicit reference to the existing agreement. This may be done by letter or email, confirming the purpose of the visit and proposed dates.

b) Proposed by the foreign university:

  • Proposal for a visit, under agreement, compiled by the foreign university recorded on the standardized form provided by the International Relations Office, with the approval of its Rectorate, Vice-Rectorate for International Relations, or equivalent body, specifying the exact dates of the exchange period, its objective, and the material conditions offered.
  • Acceptance from the receiving Department or Center of the Complutense University and explicit approval from the Vice-Rectorate for International Relations and Cooperation of the UCM, as recorded on the standardized form.

ADDITIONAL RULES

  • The Director of the receiving Department or Center must confirm the arrival of the visiting professor, or communicate, at least 72 hours in advance, any possible changes to the scheduled dates so that the International Relations Office can cancel accommodation reservations made. Otherwise, the expenses will be borne by the receiving Department or Center.
  • Upon completion of the visit by the foreign professor, the receiving Department or Center of the Complutense University will send to the International Relations Office a certification indicating that the agreed-upon activity has been carried out in accordance.
  • The invited Professor must submit, upon completion of their stay at the UCM, a report on the activities carried out therein, with the approval of the Department Director or Professor.

REMARKS

  • The Vice-Rectorate for International Relations and Cooperation will exclusively cover the expenses incurred by the exchanges under the conditions established in each specific agremment and in accordance with these rules.
  • The period during which the visit can take place will be during the academic year, respecting the vacation period of each Center.
  • The International Relations Office will handle all arrangements related to accommodation provided for in the agreements.
  • Accommodation arrangements made by individuals will be accepted only if lower prices than those maintained by the UCM are justified. (It is important to note that administrative justification of this alternative may result in significant delays in the payment of invoices)
  •  The Vice-Rectorate for International Relations and Cooperation  will not, under any circumstances, cover the expenses incurred by accompanying persons of invited professors, or expenses for dates other than those agreed upon.
  • Attendance at a conference does not imply participation in the exchange programs promoted by the inter-university Agreements signed by the UCM.
